A group gift for a colleague who is leaving

No more passing a card from desk to desk: one link is enough for the whole team, in the office or working remotely, to leave a message, a photo or a voice note. The colleague discovers everything on their last day.

Why a digital guest book

  • No more card going round the offices

Remote working, different sites, part-time schedules: with a link, everyone takes part, even those who are never in the office on the same day.

  • More personal messages

Everyone writes alone, without reading what the others put: the words are more sincere than on the back of a card that is already full.

  • Ready in a few minutes

No account for contributors, nothing to print: you create the booklet, you share the link, that’s all.

How to organise it, step by step

  1. Step 1Create the bookletGive it a title (“All the best, Valentin!”) and choose the reveal date, for example their last day.
  2. Step 2Share the link with the teamCopy the link or print the poster with the QR code. Everyone adds their memory from their phone, with no account and no app. A message in the team chat (without the person concerned) is enough.
  3. Step 3Follow the arrivalsThe dashboard shows the memories received; you can remove a message that is not suitable.

Message ideas

To help those who don’t know what to write. Sentence starters are also offered in the form.

  • “A moment when you made me burst out laughing: the meeting where the projector refused to turn on.”
  • “Thank you for your help on that impossible project: without you, I would still be at it.”
  • “What I will remember about you: your good mood, even on Mondays.”
  • “Safe travels for what comes next! They are very lucky to have you.”
  • “The time you lent me a hand: my first month, when I knew nobody.”
  • “What I wish you for what comes next: a team as nice as ours (almost).”

How many cards should you plan for?

For a small team, the free 10-card booklet or the 25-card one is enough. For a whole department, plan for 50 cards. The booklet can be enlarged during the collection period if the messages pour in.

Frequently asked questions

Can the colleague see the guest book before they leave?

No. Before the reveal, each contributor only sees their own memory, and the guest of honour only receives their secret link on the chosen date.

Can the guest book be combined with a collection pot?

Yes, the two complement each other: the pot pays for the gift, the guest book gathers the words. Souvenirium does not collect money; just put the link to the pot in your invitation message.

Is an account needed to take part?

No. Only the organiser has an account. Contributors open the link or scan the QR code, write, sign with their first and last name, then send.
